Reports in HeySales

The Reports module is your central command center for tracking how your team is learning, growing, and improving through HeySales.ai.

It brings together all your key insights — from course completions and podcast performance to skill development and leaderboard rankings — giving both learners and administrators a complete view of progress and performance.

Whether you’re an individual learner tracking your own growth or an admin analyzing team-wide performance, the Reports module helps you visualize learning impact and make data-backed decisions.


Accessing the Reports Module

You can find the Reports icon at the top of the HeySales.ai platform — it’s the last tab on the top panel.

Once opened, you’ll see two primary sections:

  • Teams: For administrators and managers to track team-wide performance.

  • Learnings: For individual learners to monitor their personal progress.


Filtering Insights on Reports

Before diving into the metrics, HeySales.ai lets you filter your data to view insights that matter most to you.

You can filter reports by Timeline, Skills, or User Groups.

To apply filters, click the Filter icon on the right-hand side of the Reports page. A sidebar will appear with multiple filter options.

You can filter insights by:

  • Timeline: View performance over the last 7 days, 30 days, 90 days, or select a custom date range. Refer to Manage Skills in Admin to learn how to add skills in Settings.

  • Skills: Focus on specific skill areas to see how learners are progressing in key competencies. Refer to Manage Skills in Admin to learn how to add skills in Settings.

  • User Groups: View data for particular teams or departments, such as regional sales teams or product specialists. Refer to this guide to learn more about User Groups.

💡 User Groups help admins segment and compare performance across specific teams or business units.


All filters can be combined to narrow down reports and generate tailored insights.


Understanding the Reports Dashboard

The Reports module is divided into two main sections — Teams and Learnings.


Teams Tab (for Administrators)

The Teams tab provides a complete overview of team performance. It allows admins to:

  • View top learners within the team.

  • Track key skill areas being developed.

  • Identify the most popular enrolled courses.

  • Get a comprehensive snapshot of overall team progress.

Learnings Tab (for Individual Learners)

The Learnings tab offers personalized insights for each learner. It helps users:

  • See the courses completed and average scores.

  • Track skills acquired through courses and podcasts.

  • Compare individual performance against the rest of the team.


What Data Does the Reports Dashboard Show?

The Reports dashboard displays key performance metrics at both the learner and course levels.

  • Metrics can be filtered by Timeline, Skills, or User Groups for tailored insights.

  • The dashboard begins with the Top 5 (Big 5) Metrics section, offering a quick snapshot of your organization’s most important learning indicators.

  • These metrics provide a comprehensive overview of progress, engagement, and performance trends.

  • The Top 5 Metrics view remains consistent across both the Teams and Learnings tabs.


Top 5 Metrics on Reports

At the top of the Reports dashboard, you’ll find the Top 5 (Big 5) Metrics — a snapshot of your organization’s most important learning activity.

These metrics dynamically update based on your selected filters (Timeline, Skills, or User Groups):

  1. Courses Published – Total number of courses created and published within the selected period.

  2. Courses Assigned – The total number of course assignments given to learners.

  3. Courses Completed – How many courses have been completed (including multiple completions of the same course).

  4. Active Course Creators – Number of admins who created courses in the chosen timeframe.

  5. Total Time Spent – The total duration learners spent consuming learning content.

These five metrics give admins and creators an instant overview of engagement and training activity across the organization.


Teams Tab

The Teams tab is available only to administrators and provides a panoramic view of how your teams are performing, what skills they’re building, and which content resonates most.

Team Leaderboard

This leaderboard showcases the top performers within your organization based on average scores and courses completed.

It’s a great way to recognize achievements, celebrate milestones, and encourage friendly competition.


Skills Acquired by the Team

This section highlights the most common and emerging skills being developed across the organization. Admins can apply filters by timeline or user group to analyze:

  • Which skills are trending

  • Which teams are focusing on specific areas

  • How learning aligns with organizational capability goals

Top Enrolled Courses

Displays the most popular courses and podcasts, including:

  • Course title

  • Number of learners enrolled

  • Course creator


    This helps identify high-engagement content and understand what formats or topics perform best.

Learner Insights

A detailed breakdown of each learner’s engagement, including:

  • Courses enrolled

  • Courses completed

  • Total time spent

  • Average score

This report can be filtered or downloaded for further analysis. It allows admins and managers to track progress and spot who may need additional coaching or support.

Course Insights

Provides a course-level performance view which includes:

  • Number of learners assigned

  • Course creation date

  • Average score

  • Completion rate

If learners retake a course, each completion is counted separately. Courses in progress are also tracked, helping admins assess both engagement and effectiveness.


Learnings Tab

The Learnings tab is designed for individual learners to keep track of their own progress. It displays:

  • Courses Completed: View how many courses you’ve finished within a chosen timeframe.

  • Average Scores: See your average across all completed courses.

  • Skills Earned: Understand which new skills you’ve developed and how your performance compares to your team’s average.

Top Learners

A friendly leaderboard showing the highest-performing peers based on course completions and average scores — helping you benchmark your progress.

Skills Earned

Visualizes your skill-building journey. Each skill includes a comparison against team averages, helping you see where you excel and where you can improve.

Course Insights

Get a detailed, filterable view of your own learning activity:

  • Who assigned the course

  • Enrollment and completion dates

  • Completion status

  • Final score

You can filter by Timeline and Skills, or download the report for personal tracking.


Course-Level Insights for Admins

Admins can drill down into each course to see learner completion statuses:

  • Completed

  • In Progress

  • Not Started

By clicking on a course, admins are redirected to the Studio, where they can view detailed insights and manage learner progress.

They can also set a minimum pass percentage to establish a benchmark for successful completion.


Call Simulation Reports for Admins

Admins can also access reports for Call Simulations to evaluate how sales reps perform in practice calls. These reports include:

  • Number of Attempts

  • Latest Scores

  • Ramp-Up Time

  • Average Time Spent

Admins can view detailed insights for each simulation attempt, including call recordings, transcripts, and scoring metrics for:

  • Conversation Quality

  • Prospect Engagement

  • Buyer Intent Qualification

  • Decision Process & Next Steps

These analytics make it easy to measure readiness, provide targeted feedback, and continuously improve sales effectiveness.
